How do I set up an autoresponder?

An autoresponder is a program that automatically responds to emails that you receive. It's like an aswering machine for your emails. Autoresponders are particularly useful when you go on vacation or are not planning on reading your email for an extended period of time. You can set up your autoresponder to reply to the sender informing them of your situation.

There are a couple of issues with autoresponders: frequency of replies, and mailing lists. If a person routinely sends you email several times a day, you may not want the autoresponder to reply to every email they send. They'll know that you're on vacation after the first reply. Our autoresponders are set to reply to an individual sender no more than once every hour. This means that if I have an autoresponder set up, and you send me an email every 10 minutes, you will only receive a response from me once an hour. The frequency of responses is configurable. Please contact us if you want to change it.

The other issue is mailing lists. If you are subscribed to a mailing list and have an autoresponder set up, and the mailing list sends you an email, the autoresponder will not send a response to the mailing list. It is very important that the autoresponder behave this way. Otherwise, you could have thousands of people getting the "I'm on vacation" message, and most of them won't even know who you are.

Having said that, there are three ways you can interact with our autoresponder:

  1. Enabling an Autoresponse
  2. Viewing the Current Autoresponse
  3. Disabling an Autoresponse
Enabling an Autoresponse
  1. Send an email to autorespond@emailcontrolpanel.com. The subject of the email should be the subject of the autoresponse you want sent out. The body of the email should be the body of the autoresponse you want sent out. The subject and/or body may have a special tag %S that will be replaced by the subject of the incoming message.
     
    An example subject might be:
    Got your email Re: %S

     
    An example body might be:
    Hello. I got your message regarding %S.
    I am on vacation now, but will respond to it when I get back.

     
  2. You will receive an email response from the autoresponder asking you to confirm the request. In order to confirm the request all you need to do is to reply to the email.
     
  3. Once the system receives your confirmation, you're all set! The autoresponder will be running until you disable it.
     
Viewing the Current Autoresponse
  1. Send a blank email to autorespond-show@emailcontrolpanel.com. The email does not need a subject.
     
  2. The autoresponder will send you an email with the current autoresponse text.
     
Disabling an Autoresponse
  1. Send a blank email to autorespond-delete@emailcontrolpanel.com. The email does not need a subject.
     
  2. The autoresponder will send you an email asking you to confirm the request. In order to confirm the request all you need to do is to reply to the email.
     
  3. Once the system receives your confirmation, you're all set! The autoresponder will be have been disabled.
